Terms and conditions for the OPEN CALL contest for shows in 2026
1. Organizer and subject of the Contest
1. The organizer of the Contest is Komuna Warszawa Theater Association with its registered office in Warsaw (00-031) at Szpitalna 5 st. no. 5, NIP: 5321053741, entered under KRS number: 0000177375, kept by the District Court for the Capital City of Warsaw in Warsaw, 12th Commercial Division of the National Court Register.
2. The subject of the Contest is for the Organizer to determine a performance project, understood as a proposal encompassing all forms of performing arts, with elements of dance, of an experimental character, and then to execute this project at the Komuna Warszawa Theater.
3. Participation in the Contest is voluntary and equivalent to acceptance of the rules of herein Terms and Conditions.
4. The schedule of the Contest is as follows:
5. Stage 1: call for performance projects from 19.09.2025 to 26.10.2025, until 11.59 p.m.,
6. Stage 2: individual meetings with selected participants from 12.11 to 14.11.2025,
7. Announcement of the Contest results – 15.11.2025
8. Execution of the performance – from 1.02 to 10.12.2026
2. Persons eligible to participate in the Contest
1. Any individual or group of individuals (collective) may participate in the Contest, regardless of age.
2. The Contest is addressed to persons, who have documented experience in execution of similar projects.
3. Terms of participation in the Contest
1. The condition of participation in the Contest is sending, in term up to 26.10.2025 an application through the website www.komuna.warszawa.pl.
2. Each individual/collective may submit one project.
3. The application should be prepared in polish.
4. The application should contain:
a. data identifying a person or collective, and in the case of a collective, additionally the data of the representative,
b. information about being a tax resident in Poland,
c. detailed description of the project, particularly description of the idea, text of the performance or extract of the text, method of executing the premise, work schedule, description of the creative team, cast, cost estimate, sketch of the set design, rider/technical requirements,
d. artistic bio,
e. list of to date works, along with prospective links to records/documentation.
5. If the performance project foresees the participation of third parties (collective, creative team, cast) or the use of other persons’ rights, including copyrights, the application must be accompanied by the consent of those persons to participate in the project or to the use of their rights.
6. The project may only apply to a performance that has not yet been staged.
7. The cost estimate of the project should be prepared within the application form.
8. Applications which are incomplete, submitted past the date or submitted in a form other than that presented in the Terms and Conditions will not be considered. The Organizer reserves the right to request participants to complete any missing information in their applications.
4. The Course of the Contest
1. The Contest Organizer will select the winner(s) of each subsequent stage through a jury composed of: Grzegorz Laszuk, Zuzanna Berendt, Tomasz Plata, Szymon Adamczak.
2. The composition of the Contest jury may change at any stage of the Contest without prior notice to participants..
3. In stage 1. The Organizer will select any number of projects, no more than ten, which will be qualified to stage 2.
4. In stage 2. The Organizer will host individual meetings with persons qualified to this stage and will select the winners of the Contest, no more than two.
5. The announcement of the Contest results will occur on 15.11.2025 through the Organizer’s website www.komuna.warszawa.pl.
6. The Organizer reserves the right to cancel the Contest at any of its stages without stating the reason.
7. The Contest prize is:
a. co-financing of the performance in the maximum amount of PLN 70,000 (seventy thousand zlotys) gross, including royalties, costs of purchasing materials and stage design, travel and accommodation costs, and all other costs related to the execution of the project;
b. the Organizer providing access to the Komuna Warszawa Theater space by Emilia Plater 31 st. in Warsaw for the maximum time period of 6 weeks, including the stage for the maximum period of 10 days,
c. providing technical equipment owned by the Organizer,
d. technical team support during rehearsals and performances, including producer, lighting operator, sound engineer, technician,
e. substantive and promotional support from the Organizer in the production of the performance.
8. By submitting an entry, participants in the Contest agree that if they win, they will:
a.conclude a separate agreement with the Organizer or a person designated by the Organizer within the time period specified by the Organizer for the performance of the show,
b. the agreement will contain detailed terms of the show’s execution, including, among others, the participant granting an exclusive license for a period of at least 5 years with the right to sublicense, in the fields of exploitation specified in Article 50 of the Act of February 4, 1994, on copyright and related rights
(i.e. Journal of Laws of 2022, item 2509) and others, to the Organizer or a person designated by the Organizer, with the proviso that the granting of the license does not imply an obligation to distribute the work or make it available to the public,
c. grant consent for the application to be made public in accordance with the procedure for access to public information,
d. execute the show in accordance to the work schedule,
e. execute the show in accordance to the submitted description,
f. consult with the Organizer regarding any deviations from the agreed schedule and the submitted description.
9. In case the Organizer concludes divergence in the production process in relation to the original description, especially significant deviations from the script, schedule or cost estimate, will be authorized to lowering the co-financing, which is stated in art. 6 or to renouncing the agreement.
10. The Contest Organizer assures, the applications, which have not received the co-financing will not be made public due to copyright protection.
5. Privacy policy
1. The Administrator of personal data is Komuna Warszawa Theater Association with its registered office in Warsaw (00-031) at Szpitalnej 5 st. no. 5, NIP: 5321053741, entered under KRS number: 0000177375, kept by the District Court for the Capital City of Warsaw, 12th Commercial Division of the National Court Register. 2. Personal data will be processed for the purpose of oganizing and conducting the Contest from the moment of receipt by the Organizer until the end of the Contest, but no longer than until the end of December 2025.
3. Legal basis for data processing: Article 6(1)(a) and (b) of Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (OJ EU L 2016 No. 119, p. 1, as amended).
4. The recipient of the data is the Organizer and persons designated by the Organizer, taking part in the organization of the Contest.
5. The participant in the Contest has the right to request the administrator to access their personal data, the right to rectify, delete, or limit the processing of such data, the right to object to the processing, as well as the right to transfer the data, the right to lodge a complaint with the supervisory authority, i.e. the President of the Personal Data Protection Office, the right to withdraw consent at any time without affecting the lawfulness of the processing that was carried out on the basis of consent before its withdrawal.
6. Providing personal data is voluntary, but it is a necessary requirement for participation in the Contest.
7. The data will not be processed automatically.
8. In case the Participant provides the Organizer with the personal data of third parties, they are obliged to inform those persons of the content of this provision.
6. Final provisions
1.The Terms and Conditions may be amended by the Organizer at any time. In the event of significant changes, the Organizer is obliged to inform those who have already submitted their applications.
2. The participant acknowledges that the Komuna Warszawa Theater building is not fully adapted to the needs of persons with disabilities, and if necessary, may contact the Organizer directly for detailed information in this regard.
3. The organizer declares that it accepts and applies the principles of equal treatment adopted by the Capital City of Warsaw, is aware of its legal responsibility for non-compliance with anti-discrimination regulations, and conducts its activities free from discrimination, in particular on grounds such as gender, race (skin color), ethnicity, nationality, religion, belief, worldview, disability, age, or sexual orientation, which may constitute grounds for unequal treatment and which have no rational justification from the point of view of the Organizer’s activities.
